Clinic Etiquette

To obtain your preferred appointment day and time, we ask that you book well in advance. We will always do our best to accommodate your schedule, however, in instances where we cannot, we can add you to our priority list, which is checked daily if cancellations occur. To secure your appointment, we do require a booking deposit, which can be used as a partial or full prepayment for your treatment on the day.

Please allow plenty of time to arrive for your appointment. If you arrive late, we will do our best to provide a full and thorough service. As a courtesy to the next patient, however, your appointment will still finish at the originally scheduled time. This means that you have less time for your treatments, and in some cases we may not be able to complete your booked treatment and you may need to reschedule at extra cost.

Children and pets in clinic

Please note that due to limitations on space in the clinic treatment rooms and reception, limitations with staff and for safety reasons during your treatment, we cannot offer child-minding or supervision during your appointment. Please make suitable arrangements for child care for your appointment time. Failure to do so may impact our ability to perform your treatment on the day of your appointment.

For hygiene and safety reasons we also ask that you do not bring a pet/animal to your appointment. Again, this may impact our ability to perform your treatment on the day.

Eftpos Surcharges

Our payment system at the clinic charges a surcharge for payments taken through the EFTPOS machine. This is calculated at 1% of the transaction value and displayed prior to payment. Please ask reception staff if you have any queries or questions surrounding payment for your appointment.

Cancellations and Booking Fees

We appreciate that life can get a little tricky! However, whilst we would like to remain lenient, over time last minute cancellations have increased and continue to significantly impact our business. After careful consideration, we have made the decision to reinstate our cancellation policy, please see details of our policy below:

 

Cancellation Policy Terms:

At our clinic, we value your time — and we hope you value ours too. Each appointment is carefully booked and time is set aside just for you. To ensure we can deliver the best possible service to all clients, we have a clear cancellation and no-show policy in place.

Booking Deposits

Card details and a booking deposit are required at the time of booking to secure all appointments. To confirm your appointment, we require a deposit of $50.
For longer or high-skill treatments (such as injectables, Morpheus8, and DOT CO2), a $100 deposit is required.

This deposit secures your time with us and is applied to your treatment on the day.

Appointment Reminders

You’ll receive:

  • An email reminder 48 hours before your appointment

  • A text reminder 24 hours before your appointment

These reminders are your opportunity to confirm, cancel, or reschedule if needed — no penalties apply if changes are made outside of our cancellation window.

Late Cancellations & No-Shows

We understand that life happens — however, late changes or no-shows affect our ability to operate smoothly and fairly.

Here’s how we handle them:

  • Cancellations within 24 hours of your appointment may result in a late-change fee or loss of deposit

  • Same-day cancellations or reschedules will incur a $100 fee, or
    50% of the treatment cost for longer appointments (injectables, Morpheus8, DOT CO2)

  • No-shows will be treated the same as a same-day cancellation and may result in future bookings requiring full prepayment

Extenuating Circumstances

We understand that unexpected events and emergencies do happen. If something significant arises, please contact us as soon as possible. While we aim to be fair, we do reserve the right to enforce our policy in order to maintain a respectful and reliable schedule for all clients.

Refund Policy:

As there is no guarantee with medical procedures it is essential to understand that aesthetic procedures are not an exact science. Every human body is different and may react differently. Whatever the outcome, the product and or service has been provided, and it is therefore not possible for Dr Tranter Aesthetics or the consulting doctor/therapist to refund procedure fees. This is non-negotiable. Dr Tranter Aesthetics will make every reasonable effort to achieve the aesthetic outcome the patient requests, however no guarantees are offered in relation to the effects of any procedure performed.

In the event of dissatisfaction with any treatment or procedure performed at Dr Tranter Aesthetics, an in-person consultation is required to review the results and discuss next steps with you.
